AI platform vs chatbot: what businesses actually need

A chatbot is an interface. A platform is a system. Choosing between them starts with the job you need done.

AI platform versus chatbot: choosing the right system for business workflows with state, roles and integrations

Chat is a brilliant interaction pattern for some problems. It is also one of the easiest AI features to add without solving much. If your requirement involves persistent data, roles, workflows, approvals, integrations or reporting, you may be describing a platform rather than a chatbot.

01

When a chatbot is enough

Chat works well when the primary job is conversational: answering questions from a controlled knowledge base, guiding someone to information, collecting an initial request or helping a user explore a bounded set of options.

02

When you need a platform

A platform becomes more appropriate when work has state. Cases move through stages. Different people have different permissions. Information must be stored, reviewed and reported. Actions trigger integrations. There is a history that matters tomorrow.

03

The strongest products often use both

The choice is not binary. A well-designed platform can use conversational AI inside a structured experience. The user might ask a question in natural language, then review the result in a dashboard, approve an action and have the system update the relevant record.

04

A simple test

Ask what happens after the AI gives an answer. If the job is complete, chat may be enough. If someone needs to approve, assign, track, compare, store, notify, report or continue a process, think beyond the chat window.

THE TAKEAWAY

Do not buy a chatbot when the business problem is actually a workflow.
